Share files with OneDrive instead of emailing attachments

A OneDrive link avoids duplicate copies and lets everyone work from the current file.

  1. In OneDrive, select the file or folder and choose Share.
  2. Choose Specific people for confidential or limited material. Use an organization-wide link only when everyone in the company should have access. Do not use Anyone with the link unless IT or the data owner has approved external anonymous sharing.
  3. Choose Can view unless the recipient must edit the file.
  4. Send the link through Outlook or Teams.
  5. When access is no longer needed, open Manage access and remove the link or person.

Do not use personal iCloud, Dropbox, Google Drive, or a personal OneDrive account for company files unless specifically approved.
