Share files with OneDrive instead of emailing attachments
A OneDrive link avoids duplicate copies and lets everyone work from the current file.
- In OneDrive, select the file or folder and choose Share.
- Choose Specific people for confidential or limited material. Use an organization-wide link only when everyone in the company should have access. Do not use Anyone with the link unless IT or the data owner has approved external anonymous sharing.
- Choose Can view unless the recipient must edit the file.
- Send the link through Outlook or Teams.
- When access is no longer needed, open Manage access and remove the link or person.
Do not use personal iCloud, Dropbox, Google Drive, or a personal OneDrive account for company files unless specifically approved.
